Arkance Systems Finland Oy training and event register

The purpose of the register and the purpose of processing personal data
The purpose of the register is to maintain the information of persons registered in events and trainings organized by Arkance Systems Finland Oy. The registry is used for event management, communications and billing.

Information contained in the register
The registry may include the following information about customers:

  • Organization information, such as VAT number, corporate / community name, address, postal code, post office, background information (including industry, personnel and turnover)
  • Customer / contact details such as first and last name, title, address, email address, phone number
  • Billing and recovery information
  • Event information, such as the date of registration, cancellation date, event topic, and communication implementation
  • Diet / allergies
  • Possible additional information about participating or enrolling
  • Permissions, such as direct marketing permissions and prohibitions
  • Other customer relationship management and marketing information

Registry information sources
Personal data is collected either from the person his/herself or from another person from the same organization. The personal data of the register is not combined with other data sources.

Transfers of personal data
The names and contact details will be published with the consent of the participants. A list of the participants can be seen on the event page and / or the participant list to be shared in the event. The caterer or accommodation organizer will be informed of the special diets, the number of persons and the personal details necessary for arranging the event, such as the list of hotel guests. Participants' information on events organized in co-operation with other companies will be distributed to organizers as appropriate.

Protection of the registry
Data is collected in databases that are protected by firewalls, passwords, and other technical means. Saved information has limited access rights. Only those who have access to the databases are allowed access to the customer register and personal data files.

Right of Inspection
According to Section 26 [KP1] of the Personal Data Act, a registered person has the right to inspect what information about him/her has been stored in the personal register.

Right to Correction
Everyone has the right to claim the incorrect personal data in the register. The claim for correction must be presented to the registrar in writing by a signed document by letter, e-mail or in person.

Right of Refusal
The data subject has the right to deny the processing of data about him/herself for direct advertising or other direct marketing. The denial must be submitted to the registrar in writing by means of a signed document by mail, email or in person.
